Position Description: Office Manager

Reports to:  Preaching Minister and Elders

 

1. CORRESPONDENCE: Respond to individuals needing written communication. Compose letters when requested. Send correspondence to all first-time visitors. Be sure all correspondence is mailed in a timely manner.

2. OFFICE EQUIPMENT MAINTENANCE: Operate, care for and clean regularly, and schedule timely maintenance for all office equipment.

3. BULLETIN PREPARATION: Prepare weekly bulletin in designated format, spell-check, proofread, and obtain approval for distribution.

4. ADMINISTRATION OF COMPUTER OPERATIONS: Demonstrate a high level of proficiency using computer software. Generate forms and reports upon request.

5. SECRETARIAL SUPPORT TO MINISTERIAL STAFF: Help with correspondence and any other tasks that might need done to support ministers spending focused time in study and preparation for sermonor Bible class.

6. MAINTENANCE OF OFFICE FILES: Maintain printed files in an orderly manner and prepare filing system directions for other users. Maintain records of baptisms, baby dedications, weddings, funerals, hospitalizations, membership placement, and weekly attendance.

7. KEYS: Create and maintain a current list of key holders and provide keys to personnel as needed. Collect keys when people vacate leadership positions.

8. MAINTAIN MASTER CALENDAR: Manage a church-wide calendar of events, including schedule of all monthly servantactivities (communion preparation, building lock-up, baptismal laundry, and others).

9. OPEN, DATE, SORT AND DELIVER INCOMING MAIL: Ensure all mailed correspondence reaches its addressee.

10. RECEIVE VISITORS AND RESPOND TO NEEDS: During business hours and when working on-site, collect information and share with appropriate individuals for follow-up.

11. INVENTORY CONTROL FOR OFFICE SUPPLIES: Manage an uninterrupted supply of church office supplies. Order supplies as needed.

12. SUPERVISION OF VOLUNTEER OFFICE HELP: Recruit, schedule, provide necessary training, and review all work completedby volunteers.

13. PREPARATION OF ANNUAL REPORT: TBD. This will be completed on an annual basis in collaboration with the elders and ministry leaders. Timeline will be determined as early as Fall 2023.Report will include attendance, giving, ministry activities(outreaches), Bible studies conducted, and other data points as directed by the elders.

14. OTHER RECORDS: Maintain records of items borrowed from the church and assist with the collection of money owed to the church for special events (weddings and parties).

15. OFFICE PROCEDURE MANUAL: Create and maintain an Office Procedure Manual involving information pertaining to the functionsof the church office. This document will contain process mapping detail and diagrams which describe all the duties outlined in this position description.

16. OTHER MATERIALS: As necessary, update all printed materials so that documentation is accurate (Applications for Benevolence, Facility Use Forms, etc.).

• Display the ability to communicate exceptionally, both verbally and written.

• Create an office environment that is inviting to people passing through on a daily basis.

• Demonstrate an optimal level of cooperation in scheduling and planning to see that the goals and objectives of the church are being executed as directed. This assumes a firsthand knowledge of allchurch policies, procedures and programs.

• Submit to an annual performance review.

• Perform all other duties as assigned.

Part-Time (15 to 30 hours per week)
